Admission Documents Checklist: What to Keep Ready Before Applying
Admission days move fast. Seats are confirmed in a fixed window, and a single missing certificate can cost you the seat or a long trip home. Every institution publishes its own list, so always read the official admission notice too. The list below covers what most colleges in India ask for.
Academic documents
- Class 10 mark sheet and pass certificate (often used as proof of date of birth)
- Class 12 mark sheet and pass certificate
- Graduation mark sheets and degree or provisional certificate, for PG courses
- Entrance exam admit card, scorecard and rank letter, where the course needs one
- Counselling allotment letter, if the seat came through counselling
Certificates from your last institution
- Transfer certificate or school leaving certificate
- Migration certificate, if you are moving to a different board or university
- Character or conduct certificate
- Gap certificate or affidavit, if there is a gap year in your studies
Identity and personal documents
- Aadhaar card or another government photo ID
- Recent passport-size photographs (keep 8–10 with a white background)
- Medical fitness certificate, where the college asks for it
- Anti-ragging undertaking: many colleges ask students and parents to submit it online at the official anti-ragging portal
Reservation and special category documents
Only if you are applying under a category. These often need to be valid for the current year, so check the date.
- Caste certificate (SC / ST / OBC). For OBC, many institutions need a recent non-creamy layer certificate
- EWS certificate for the current financial year
- Domicile or residence certificate for state quota seats
- Disability certificate for PwD seats
- Income certificate for scholarships and fee waivers
Extra documents for study abroad
- Passport, valid for the full course period if possible
- NEET-UG scorecard for MBBS abroad
- Admission or invitation letter from the university
- Bank statements or education loan sanction letter
- Visa forms and photographs in the size the embassy asks for
Our documentation and visa assistance teams help you prepare these.
Tips that prevent last-minute trouble
- Same spelling everywhere. Your name and your parents' names should match exactly on every document. Fix differences before admission season.
- Originals plus copies. Carry originals and 4–5 self-attested photocopies of each document.
- Keep scans. Save clear PDF scans in one folder on your phone and email; online forms ask for uploads.
- Check validity dates. Category and income certificates expire. Apply for new ones early.
- Keep every receipt. Fee receipts should be in the institution's name.
Frequently asked questions
My provisional certificate has not come yet. Can I still take admission?
Many colleges accept the mark sheet and an undertaking to submit the certificate later. Ask the college for its rule in writing.
Do I need a migration certificate?
Usually yes, if you move from one board or university to another. Your previous board or university issues it.
